USWAH STUDENT SERVICES COORDINATOR (TA)

The Uswah Seminary student services coordinator implements innovative student-centered initiatives and activities that enhance the student experience at Uswah Seminary, and promotes student, staff, and faculty satisfaction for the welfare of the Seminary’s program.

The coordinator oversees programming and events for all the academic programs at Uswah.

The position requires extensive interaction with prospective and current students, faculty, and staff.

The candidate must have strong communication and project management skills, be an effective team player, and excellent organizer to handle multiple tasks.

Job Description

This job description is not designed to contain or be interpreted as a comprehensive inventory of all duties, responsibilities, and qualifications required of employees assigned to the job.


1. Admissions and Recruiting

  • i. Significant interpersonal communication with prospective students over the phone, as well as in person, through e-mail and WhatsApp.

  • ii. Maintain accurate records and files through Uswah’s database system for academic details about the candidate and logging all interactions (in-person meetings, phone calls, emails, and WhatsApp messages).

  • iii. Consistently follow up and stay connected with those who have expressed academic interest in Uswah.


2. Class and Event Management

  • i. Plan, implement, and ensure quality of Uswah classes onsite and online by communicating with and making appropriate arrangements for the faculty, as well as arranging logistics for the students including but not limited to IT and equipment, course materials, and any issues related to student and faculty needs.

  • ii. Plan and implement Uswah events as required, for example, recruiting, graduation, other events.

  • iii. Collect and maintain accurate and detailed records of Uswah programs and class assessments, and evaluation for events including a of suggested improvements.

  • iv. Setting up classroom before class and cleaning up after each class, which includes (not limited to):

      1. Classroom chairs and tables

      1. Projector, laptop, TVs and other applicable classroom needs

      1. Live feed and recording during while class is in session for online students

  • v. Ensuring attendance is taken of all students and entered into student database each class period.

  • vi. Compile and create report cards, grade exams and assist lead instructor with classwork and assignments as required.

  • vii. Determine list of qualifying graduate students and following up with them to see if requirements can be met.

  • viii. Making announcements and communicating with students during class for any updates or important announcements, before and during class.


3. Advisement

  • i. Serve as a resource for Uswah students to answer questions and advise on issues associated with all components of the academic programs.

  • ii. Meet one-on-one with candidates to discuss their specific concerns and needs and mentor and advise candidates on an academic path that best fits their situation.


4. Billing

  • i. Responsible for billing students, and reconciling fees and bills paid.


5. Administrative Assistance

  • i. Work closely with our Lead Instructor (Sh Salah Mahmoud), our admin team, and in advising them of program implementation, class challenges and progress.


Qualifications

Administrative experience, preferably in an academic setting, or equivalency; the ability to work independently and pay close attention to detail; demonstrated human relations, communication and organizational skills; and a commitment to provide excellent customer service required. Accounting skills may also be required by some departments.

Applicants must demonstrate the potential ability to perform the essential functions of the job as outlined in the position description.

  • Must be fluent in English

  • Must be legally eligible to work in the United States

  • Must pass a background check

  • Must be available to work onsite on weekends, and remotely as required


Preferences

  • ● Experience in organizing/planning special events

  • ● Experience of effective verbal and written communication skills

  • ● Experience in offering a high-level, fast-paced customer service in a student services environment that prioritizes the success of a student in their approach to academic advising

  • ● Ability to handle multiple tasks in an organized manner. Produce high-quality work with speed and accuracy

  • ● Excellent oral, written, and communication skills and the ability to relate well to working professionals

  • ● Strong computer skills including proficiency in Microsoft Office (Word, Excel, Access, PowerPoint)

  • ● Basic accounting skills
